An export documents executive, also known as an export documentation specialist, is responsible for preparing and reviewing commercial documents for export activities. They also handle recordkeeping and ensure compliance with import and export laws and regulations.

An export documents executive, also known as an export documentation specialist, is responsible for preparing and reviewing commercial documents for export activities. They also handle recordkeeping and ensure compliance with import and export laws and regulations. 

Here are some of the key responsibilities of an export documents executive:
  • Prepare documents
    This includes bills of lading, packing lists, certificates of origin, invoices, and commercial agreements. They should also prepare pre- and post-shipment documents, such as daily reports on shipments and delivery schedules.
  • Review documents
    They should conduct detailed checks of all documents to ensure accuracy and compliance. They may also verify documents received from client co-ordinators and work with them to answer any queries.
  • Coordinate with other parties
    They should collaborate with importers, suppliers, and custom house agents on a per-order basis to ensure seamless coordination among all parties involved.
  • Support export activities
    This may include arranging transportation of goods, negotiating freight rates and taxes, and managing orders as per budgets. 

Other responsibilities may include:
  • Ensuring compliance with export licenses
  • Conducting market research to assess demand for products and factors related to the export destination
  • Monitoring the use of labels and bar codes
